Each unit has a slot for its SOAT and one for its technical inspection, and each driver has one for the driver's licence. You can also add your own documents, such as an all-risk policy. Once the date is in, we remind you before it expires.

Before you start

  • The Administrator and the Fleet manager are the ones who enter and change dates. Everyone else sees the expiries of the units assigned to them.
  • Only the Administrator and the Fleet manager see drivers' dates.

Enter a document's date

  1. On the map, open Settings and go to Devices or Drivers.
  2. Edit the unit or the driver.
  3. Under Documents, tap the document. For one of your own, tap Add document and give it a name.
  4. Pick the date in Expires on. The Number and the Note are optional.
  5. Tap Save. The document is saved right there, even if you do not save the form.

See every expiry

Settings › Expiries lists the whole fleet, nearest expiry first. Each row says Expired, Expires today, how many days are left, or Valid. If nobody entered the date, it says No date.

You can filter the list by status or by type of document. If you can change dates, tapping a row lets you enter or fix the date right there.

When we remind you

If nobody changes anything, we remind you 30, 7 and 1 days before, and also on the day it expires. The days apply to the whole organization, and the administrator or the fleet manager picks them.

  1. In Expiries, tap Change.
  2. Check the Days before when you want the reminder. You can pick up to five.
  3. Tap Save.

The reminder on the day it expires still reaches you, without you having to check it.

A unit's reminder reaches whoever has the unit assigned and whoever manages the fleet. A driver's reminder reaches only whoever manages the fleet. It reaches you through the channels you chose for Document about to expire and Document expires today in your alert preferences.

Maintenance by date

In Maintenance you can also schedule a service by date, like an oil change every six months. To do it, pick Date and fill in the Last service and Every (days). The reminder goes out with the first report the unit sends after each date.

On your phone

The list is in Management › Expiries. You enter the dates when you edit the unit or the driver from Management › Devices or Drivers, in the Documents section.
